Terms of Service

These Terms govern your use of Vinfirm: your account, the paid plans, the records you upload, ownership transfers, and the limits of what this product does.

01·Scope and definitions#

Vinfirm is operated by Vinfirm LLC, an Indiana limited liability company. In these Terms, "Vinfirm", "we" and "us" mean that company, "you" means the person who holds the account, and this document is the agreement between us.

Vinfirm structures documents you upload into a timestamped, VIN-anchored record: dates, mileage, shops, line items and the document each one came from, checked against each other for internal consistency.

The following terms have specific meanings throughout. A Document is a file you upload. A Service Record is one entry Vinfirm builds from one or more Documents. A Vehicle Profile is the whole collection for one VIN. A Public Profile is a Vehicle Profile in a state where anyone can read it, at vinfirm.com/p/ followed by that profile’s own ten-character identifier. An Ownership Transfer moves a Vehicle Profile from one account to another. A Vinfirmed Sale is the one-time purchase in section 04 that makes a Vehicle Profile public. A Pro Subscription is the recurring plan described in the same section.

Vinfirm is offered in the United States only, and you must be at least 18 years old to hold an account. We do not knowingly serve users outside the United States or under 18, and we may close an account that is either.

The service is available under Basic at no charge, and under the paid tiers described in section 04. What each plan includes is set by the app's own pricing and account pages, which are the current source, not this document alone.

02·Your content and the licence you grant#

What you upload remains yours. We do not sell it, license it to anyone else, or use it to train any model.

To operate the service, you grant us permission to do a specific list of things with what you upload: store it, send it to the parsing provider named in our Privacy Policy, read text out of it, build Service Records and a timeline from it, produce redacted copies and other derivatives, generate export files and document images from it, display it publicly if and while your Vehicle Profile is in a public state, and keep it on an archived page after a sale has completed.

That permission outlasts your account in one respect. An Ownership Transfer hands a Vehicle Profile to a buyer, and it would be worth nothing if the records vanished when the seller later closed their account. For any Service Record that has already been transferred to another account, or that has already been published on a Public Profile, the permission continues after you delete your account. For everything else it ends when you do.

You make two representations each time you upload. First, that you have the right to upload the Document. Second, that you have reviewed it for other people's personal information, such as a name, an address, a phone number or a signature, before it goes anywhere public. Section 06 sets out what happens if either is untrue.

The permission set out above is the whole of what you grant us. It is what we need in order to run the service, and it does not include using your car or your records in our own marketing. Publishing a Public Profile does not give us that, and neither does buying a Vinfirmed Sale.

We ask for that separately, one car at a time. If you give it, we may show that car's Public Profile on vinfirm.com's own pages and on Vinfirm's own social accounts and newsletter. It is off unless you give it, and it is a permission rather than a promise: we may show the car or not. What we show is drawn from the Public Profile as it already stands, so nothing becomes public that was not public already. The permission ends when the Vehicle Profile leaves its public state or passes to a new owner, whose decision is their own and starts at off.

You may withdraw that permission at any time from the car's page. Withdrawing removes the car from vinfirm.com straight away. It does not reach a post already published somewhere we do not control, which is why the permission says so where you give it rather than only here. When you give it, you represent that you have the right to let us use the photograph of the car.

03·Absence of verification#

Vinfirm is not a verification service and verifies nothing. It records what is documented and who documented it, and makes no claim about a vehicle's condition, value, or the truth of any document.

A dollar figure shown anywhere in the product is an amount read from an uploaded document. It is not an appraisal, a valuation, or a comparable-sales estimate. Vinfirm never accepts, uploads, parses or stores content from a vehicle history report in any form.

A mileage figure is likewise transcribed from a document. It is not an odometer disclosure statement, it does not satisfy any odometer disclosure requirement on a sale, and it is not evidence that a reading is accurate. Federal and state law require odometer disclosure to be made separately on transfer, and nothing here replaces that.

A Vehicle Profile is not a title report, not an inspection, and not a substitute for either. A buyer should still commission a pre-purchase inspection and check title and history through the usual sources.

We make no representation that a Vehicle Profile is complete. It contains what an owner chose to upload. Work that was never documented, or documented and never uploaded, does not appear, and the absence of a record is not evidence that the work did not happen or that it did.

04·Plans, renewals and refunds#

Pro is billed $6.99 a month or $59 a year. It renews automatically at the end of each term, at the same price, charged to the payment method on file, until you cancel. You consent to that when you subscribe, on a screen that states the price, the interval and the automatic renewal before you are charged, and we send you a copy of what you agreed to.

We will email you before each annual renewal, and again whenever a price changes, before the new price applies. You may cancel at any time from account settings, in the same number of steps it took to subscribe and without contacting anyone. Cancelling stops the next renewal; it does not shorten the term you have already paid for, and your plan runs to the end of it.

Vinfirmed Sale is a one-time purchase of $39.99, or $19.99 while an annual Pro plan is active, charged per vehicle per sale event. It does not renew and there is nothing to cancel. Only a completed Ownership Transfer consumes it. An invite that expires, is declined, or is cancelled does not, and the same purchase covers re-inviting a different buyer while the Public Profile is still live.

Charges already made are not refunded. A cancelled Pro Subscription runs to the end of the term already paid for. A Vinfirmed Sale that did not result in a completed Ownership Transfer remains available for a further transfer attempt at no additional charge.

A plan also sets how many vehicles you may actively manage at one time. A vehicle for which you have purchased a Vinfirmed Sale that has not yet been consumed by a completed Ownership Transfer does not count against that allowance, on any plan. A vehicle beyond the allowance becomes read-only: it is never deleted, its records stay readable and exportable in full, and it becomes editable again when the allowance rises or a vehicle is transferred away.

The free tier holds 5 records on its vehicle. Above that tier records are not metered against the plan, but every vehicle has a ceiling of 100 records that we apply to guard against abuse; a Vinfirmed Sale raises the vehicle it was bought for to that same ceiling on any plan. Our pricing describes this as room for a full history of records on a vehicle; this paragraph states the ceiling behind that description. A ceiling limits what may be added; it never removes, hides or deletes a record already entered, and a vehicle above its ceiling remains readable, publishable and exportable in full. We may raise a ceiling for an individual vehicle on request, and will not unreasonably refuse a request that reflects a genuine service history. A single record holds up to 20 pages on every plan, and a record you begin but never confirm is discarded, with anything uploaded to it, after 5 days.

If a payment fails we will retry it and notify you. If it keeps failing, a Pro Subscription lapses to the free tier, which changes how many vehicles you can stage and how many records you may add, and never deletes a record. A Vinfirmed Sale is a completed one-time payment, so a later failed subscription charge does not take a live Public Profile down mid-sale.

If you dispute a charge with your bank rather than raising it with us, we may suspend the account while the dispute is open. Raising it with us first is ordinarily faster.

05·Vehicle ownership and Vinfirm's role#

When you add a vehicle you represent that you own it, or that you are authorised by the owner to document it. We do not check that, and a Vehicle Profile should not be read as evidence of it.

If two people claim the same VIN, we will ask both for documentation and may suspend the Public Profile while we review it. We do not adjudicate ownership. What we can do is stop publishing until the question is settled, and that is ordinarily what we will do.

If we receive a credible report that a vehicle is stolen, or that a VIN has been cloned onto another car, we may take the Public Profile down, restrict it, or keep it up and pass what we hold to law enforcement. A detailed, structured history addressable by VIN is what a cloning fraud needs in order to look real, and we will act on a credible report even where doing so interrupts a legitimate sale.

Vinfirm is not a party to the sale of any vehicle. We are not a broker, a dealer, an auction house, an escrow agent, a title service or an inspector, we take no position on any transaction, and we hold no money for either side. An Ownership Transfer moves a documentation record between Vinfirm accounts. It is not a title transfer, not a bill of sale, and has no bearing on the legal sale of the vehicle, which happens entirely outside this product.

A transfer requires consent on both ends: a seller cannot move records onto a buyer's account without the buyer accepting the invite, and a buyer receives the record free of charge regardless of what the seller paid. An invite expires after 14 days, and the seller may cancel, resend or re-target it at any time before it is accepted.

06·Prohibited conduct#

Do not upload a Document you do not have the right to upload, and do not upload one you have altered, fabricated, or know to be false. Vinfirm cannot reliably detect an altered or fabricated document, and a forged invoice on a Public Profile is a fraud against the buyer who relies on it.

Do not use Vinfirm to misrepresent a vehicle, to support a cloned VIN, or to build a history for a car other than the one the VIN belongs to.

Do not access the service by automated means. No scraping, crawling beyond what our robots file allows, bulk downloading, enumerating VINs to discover which have profiles, or using the site's data to build a competing dataset. A Public Profile is published so that a buyer can read one vehicle's history; it is not published for bulk collection.

Do not attempt to reach data the product has not given you: no probing for private profiles, no circumventing the gates on paid features, and no attacking or overloading the service.

Do not claim, in a listing or anywhere else, that Vinfirm has checked, confirmed or approved anything. Section 11 sets out what you may say.

07·Termination by you#

You may cancel at any time, and your export stays available. Non-payment makes a link private; it never deletes a record.

Deleting your account schedules removal 30 days out, with a full export offered first; signing back in during that window cancels the deletion. Questions about any of this can go to help@vinfirm.com.

Two things survive the deletion of your account, and both follow from transfers you completed. Service Records you transferred to a buyer stay with the buyer, because they are that buyer's vehicle history and section 02 is where you agreed to that. And a minimal record that a handover occurred, naming the vehicle it concerned and when, remains attached to the other party's account, so that their own history does not develop gaps when you leave. Our Privacy Policy sets out exactly what those contain.

08·Suspension and termination by us#

We may suspend or close an account, and take down a Public Profile, if we believe section 06 has been broken. Where the reason is a fabricated or altered Document, we will do so without a refund, and we may keep what we hold and give it to law enforcement or to a buyer who has been defrauded.

If someone tells us after a sale that a Vehicle Profile was falsified, our response is limited to the following. We can take the page down or mark it. We can tell you what was uploaded and when, because timestamps are what we hold. We cannot tell you whether the underlying work happened, we will not adjudicate between a buyer and a seller, and we are not a party to your transaction or liable for it.

Vinfirm does not authenticate Documents. A Vinfirmed Sale means that someone paid to publish a structured record; it has never meant that anyone checked it.

09·Seller reviews#

A note on a seller's Vinfirm page is that buyer's own statement about their own experience of one completed handover. Vinfirm did not write it, does not paraphrase it, and does not check whether it is accurate, which is the position section 03 takes on everything else in this product. A review is not a Vinfirm judgment about a seller; it is a record of what one buyer said.

A review can exist only against a completed Ownership Transfer, and only one can exist per transfer, enforced by the database rather than by policy. The seller has already purchased a Vinfirmed Sale, invited a specific email address, and that person has already accepted. There is no path to leaving a review without a completed handover behind it. That structural constraint is the basis on which a rating here can be relied on, and it is not a representation that any individual review is fair.

A seller may reply once to any review about them, shown directly beneath it. There is no second reply and the buyer is not notified: a right of response, not a conversation. Ratings are never used to rank, sort or recommend sellers, and Vinfirm never applies a "verified", "trusted" or equivalent badge based on them.

10·Reporting a review#

Anyone may report a note from the seller's page, with or without an account. Reporting does not hide the note. Vinfirm reviews the report and removes the note only where removal is warranted.

Grounds for removal: illegal content, personal information that was not caught by automatic scrubbing, threats or harassment, and content unrelated to the handover. Not grounds for removal: an accurate but negative account of what happened, or an opinion the seller disagrees with.

Removal following a report is a manual decision. Every other part of the feature runs unattended: submission, publishing, the seller's reply, and the report notification.

11·Use of the Vinfirm marks#

"Vinfirm" and "Vinfirmed" are our marks. You may use them to state something factual and to link to a profile: that a vehicle has a Vinfirm profile, that you have purchased a Vinfirmed Sale, or that documents are available at the profile's URL. Sellers and dealers may do this in a listing.

You may not use them to claim that we have checked anything. "Vinfirm verified", "Vinfirm certified", "Vinfirm approved", "Vinfirm inspected", or any phrasing suggesting that a third party confirmed a record, is inaccurate and is not permitted, including in a listing, an advertisement, a badge, or a dealership window sticker.

Section 03 states that Vinfirm verifies nothing. A seller who uses our marks to suggest otherwise misleads the buyer who relies on it. We may withdraw permission to use the marks from anyone who does so.

12·Disclaimer of warranties#

The service is provided as it is. We do not warrant that it will be uninterrupted or error-free, or that parsing, redaction or consistency checking will catch everything. Automatic redaction in particular is best-effort and has a non-zero miss rate, which is why section 02 requires you to check a Document yourself before it publishes.

To the fullest extent the law allows, we disclaim all warranties not set out in this document, including the implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement.

Some states do not allow some of these disclaimers. Where that is the case, this section applies as far as that state allows and no further, and nothing here removes a right you hold that cannot be waived.

13·Limitation of liability#

To the fullest extent the law allows, Vinfirm is not liable for indirect, incidental, special, consequential, exemplary or punitive damages, or for lost profits, lost sales, lost data, or the price of a vehicle, whether or not we were advised that such damages were possible.

Our total liability for any claim relating to the service is limited to the amount you actually paid us in the twelve months before the event giving rise to it. For most users that is the price of a single Vinfirmed Sale, and for a free account it is nothing.

Vinfirm is a structuring and timestamping tool sold for a small fee, not an insurer of vehicle transactions. A buyer's remedy in respect of the vehicle itself lies against the seller of the vehicle.

Some states do not allow these limits. Where that is the case, this section applies as far as that state allows and no further.

14·Indemnification#

If someone brings a claim against us arising from something you did, such as a Document you had no right to upload, a third party's personal information you did not remove, a misrepresentation in a listing, or anything else in section 06, you agree to cover our reasonable costs of dealing with it, including legal fees.

We will notify you promptly if such a claim arrives, allow you to control the defence of it if you wish, and will not settle it in a way that admits fault on your behalf without asking you.

15·Governing law and disputes#

Vinfirm LLC is an Indiana limited liability company operating from Indiana. These Terms are governed by the laws of the State of Indiana, without regard to its conflict-of-law rules, and any dispute arising from them belongs in the state or federal courts located in Indiana.

This agreement contains no arbitration clause. Nothing in it prevents you from bringing a claim in small claims court, and nothing in it waives your right to a jury trial.

Before filing a claim, please write to us. Most matters that reach us are billing questions or requests that a page come down, and both are ordinarily resolved within a week.

If any part of these Terms is found unenforceable, the rest remains in force. A failure to enforce a provision on one occasion does not waive the right to enforce it later.

16·Changes, assignment and notices#

This is version 1.0, effective 2026-09-12. The version and date at the top of this page are always the current ones, and we keep the previous versions so you can see what changed.

We may update these Terms as the product changes. Changes apply going forward, never to something that has already happened. If a change materially reduces what you receive or materially increases what you owe, we will email the address on your account at least 30 days before it takes effect, and you may close your account before then if you do not accept it. Continuing to use Vinfirm after that date means the updated Terms apply.

We may transfer this agreement to another party if the business is sold, merged or reorganised, and your account and records go with it on the same terms. You may not transfer your account to someone else. An Ownership Transfer under section 05 is how records change hands.
